How to Find Out If You Are Running Low on Printer Ink

Printer ink cartridges run dry eventually and this may happen whilst in the middle of printing very important documents.  It can be a very inconveniencing experience to have important presentations not printed because the printer ink cartridge just ran out, and especially when there are no available replacements within reach.  It is very important to always have ample supply of printer ink cartridges stored in the office to avoid such incidences. While it is important to have back up printer ink cartridges, it is also advisable to always check the ink level in the printer ink cartridge before doing any printing.  This will forewarn the user before any printing is done so that they can make alternative plans.

Checking the level of ink is done by checking through the computer that is connected to the printer.  The level of ink can not be monitored from the printer ink cartridge itself.  The following are steps to follow in checking for the level of ink in printer ink cartridges.

Step 1.  Wait for the Warning

Many printers come with programs that will give an automatic warning when the ink level goes down in printer ink cartridges.  This is the simplest way to know if the ink level is low.  Before confirming the print request, the computer will pop up a message warning that the ink is low.  However, this may not be convenient for bulk printing especially when there is no replacement available or within reach.

Step 2.  Know your Model

It is important to know the model and make of the printer being used at the time.  This should be done before even trying to find out if the ink is running out.  The reason for understanding the model is:

  • Multiple Printers – Many big companies use multiple printers and most of these are installed in all computer machines.  It is important to know which make and model in order to identify the right printing machine in the network.
  • Cartridge Replacement – Different printer models use different printer ink cartridges and knowing the model of the printer will help to make the right replacement.  If the wrong printer ink cartridge is placed in the printer, it will indicate that it is an error and will not continue
  • Cartridge reordering – If the model and make is clear and a replacement is not within reach, it will be easier to make an order with this information available.

Step 3.  Check the Manual

Many printers usually come with an instructional manual that will show how to check the ink level.  If the printer’s manual is not available, there are some available online from the manufacturer’s website.  It is important to have the model and make in hand to be able to access this information and download with ease.

Step 4.  The Basics

There are some simple steps that can be taken to check the ink level in the printer ink cartridge without looking for manuals or downloading from the manufacturer’s website.  Many times, it is not that difficult to check this.  These basic steps are:

1.  Find the control panel – To find the printer options, the control panel is the first place to go because they are mostly located there.  Click on the Windows icon in the lower left corner of the screen and scroll to Control Panel.  Click to continue.

2.  Find the Printer’s icon – This is not difficult to find.  Click on the icon – usually has the word “Printers” underneath.

3.  Click on properties – Right click on the Printers icon and then scroll down to properties and click on this.  Options will appear in a properties box.  Look for the option on checking ink levels.  Click on it and it will show how much ink the cartridge(s) is left with.

This is the basic way of checking ink levels in printer ink cartridges.  However, not all computers may have these features, and especially the older printers may not have been programmed with printer information.  If this option proves futile, then the manual is the best option.
